Privacy Policy

CTCI CLOUD LLC dba CTCI Technology (“CTCI,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through www.ctcitechnology.com and related landing pages, scheduling tools, and forms (collectively, the “Site”), how we use it, and the choices available to you. By using the Site, you agree to the practices described in this policy.

We do not share, sell, or rent your personal information — including your SMS/text message opt-in data and consent — to third parties or affiliates for their own marketing or promotional purposes.

1. Information We Collect

We may collect the following categories of information when you interact with the Site:

  • Information you provide directly, such as your name, company name, job title, email address, phone number, mailing address, and any details you share when you request a quote, submit an RFP, schedule a consultation, contact our service department, or otherwise fill out a form on the Site.
  • Communication preferences, including whether you have opted in to receive email and/or SMS/text messages from us, and your opt-out status.
  • Automatically collected information, such as your IP address, browser type, device information, pages visited, and referring URLs, collected through cookies and similar tracking technologies (see Section 4).
  • Information from scheduling tools, when you book a meeting or site survey through our online calendar.

We do not knowingly collect Social Security numbers, payment card numbers, protected health information (PHI), or other sensitive personal data through the Site. If your organization shares such information with CTCI in connection with a service engagement (for example, as part of a healthcare, education, or government project), that exchange is governed by a separate signed agreement (and, where applicable, a Business Associate Agreement), not by this Site.

2. How We Use Information

We use the information we collect to:

  • Respond to your inquiries and provide quotes, proposals, and consultations;
  • Schedule and manage appointments, site surveys, and service calls;
  • Send you requested information, project updates, and — where you have opted in — marketing and nurture communications by email and/or SMS;
  • Improve the Site and our marketing effectiveness (including through analytics and advertising tools described below);
  • Maintain business records and comply with legal and contractual obligations.

3. Email and SMS/Text Messaging Communications

Email.

If you submit a form or otherwise provide your email address, we may send you information related to your inquiry as well as marketing communications. Every marketing email includes an unsubscribe link. You may also opt out at any time by emailing info@ctcitechnology.com. We comply with the CAN-SPAM Act in all commercial email communications.

SMS/Text Messaging.

If you provide your mobile phone number and affirmatively opt in (via a checked consent box on a Site form), CTCI may send you text messages related to appointment reminders, service updates, and marketing offers.

  • Message and data rates may apply. Message frequency varies.
  • You may opt out of SMS messages at any time by replying STOP to any message. You may reply HELP for assistance, or contact us at 973-594-9500 or info@ctcitechnology.com.
  • Consent to receive SMS messages is not a condition of purchasing any goods or services from CTCI.
  • No mobile information will be shared with third parties or affiliates for marketing/promotional purposes.
  • Text messaging originator opt-in data and consent will not be shared with any third parties, except for aggregators and providers of the Text Message services.

Carrier-required SMS disclosure (do not reword — carriers check this language when approving CTCI’s messaging campaign):

“No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.”

4. Cookies and Tracking Technologies

The Site uses cookies, pixels, and similar technologies to understand how visitors use the Site and to support our marketing efforts, including:

  • Website analytics tools (e.g., Google Analytics);
  • Advertising and retargeting pixels (e.g., Meta/Facebook, LinkedIn);
  • Our CRM/marketing platform’s own visitor-tracking technology (GoHighLevel), which may track form submissions, page visits, and email/SMS engagement to help us follow up appropriately.

These tools may share limited browsing data (such as pages viewed) with the analytics or advertising platform itself, under that platform’s own privacy policy, solely so CTCI can measure and retarget its own advertising. This is separate from — and does not affect — our commitment not to share your contact information, lead details, or SMS opt-in data with third parties for their own marketing purposes.

You can control cookies through your browser settings; disabling cookies may limit some Site functionality. We do not currently respond to browser “Do Not Track” signals.

5. How We Share Information

We do not sell, rent, or trade your personal information. We do not share your information with third parties or affiliates for their own marketing or promotional purposes, and — as described in Section 3 — SMS/text opt-in data and consent are never shared with any third party except aggregators and providers necessary to deliver the Text Message service itself.

We disclose information only in the following limited circumstances, and only as needed to operate our business and serve you:

  • To service providers who perform functions on our behalf under confidentiality obligations — such as our CRM and marketing automation platform (GoHighLevel), email/SMS delivery providers, hosting providers, and customer-support subcontractors — solely to help us operate the Site, communicate with you, and support your account. These providers are not permitted to use your information for their own marketing purposes or to sell or share it further;
  • With professional advisors (e.g., legal, accounting) as needed to run our business;
  • With government authorities or other third parties, if required by law, subpoena, or legal process, or to protect the rights, property, or safety of CTCI or others;
  • With a successor entity, in the event of a merger, acquisition, or sale of business assets — subject to that entity honoring the commitments in this Privacy Policy.

6. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain information for as long as reasonably necessary to fulfill the purposes described in this policy, maintain business and tax records, and comply with legal obligations, after which it is deleted or anonymized.

8. Your Choices and Rights

You may:

  • Opt out of marketing emails via the unsubscribe link in any email;
  • Opt out of SMS messages by replying STOP;
  • Request access to, correction of, or deletion of your personal information by contacting us at info@ctcitechnology.com;
  • Ask us not to share your information with third parties for marketing purposes.

We will respond to reasonable requests within a reasonable time.

9. Children’s Privacy

The Site is intended for business use by adults and is not directed to children under 13. We do not knowingly collect information from children.

10. Third-Party Links

The Site may link to third-party websites (e.g., manufacturer partners, social media). We are not responsible for the privacy practices of those sites.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date above reflects the most recent revision. Material changes will be posted on this page.
