JOB DESCRIPTION:

The Purchasing Assistant is responsible for the procurement of materials, equipment, subcontractors, and supplies; negotiating/coordinating shipping schedules with vendors; working with Project Management, Account Management, and Estimating for pricing and sourcing of materials, equipment, supplies, and subcontractors; and managing incoming inventory/material.

The Purchasing Assistant needs to work collaboratively with the Purchasing Manager to ensure cost-effective decisions are made regarding materials, supplies, and services.

Primary Duties & Responsibilities

  • This is a fast-paced work environment that requires accuracy and attention to detail.
  • Prepares and processes purchase orders for materials and supplies.
  • Effectively understands and communicates with field personnel regarding materials or
    services requirement and their procurement period.
  • Create, review, and submit purchase orders in a timely manner.
  • Coordinate shipping schedule with vendors and Project Managers.
  • Manage incoming material/inventory and follow up with suppliers on delivery requirements.
  • Troubleshoot discrepancies between the purchase orders and invoice.

Qualifications

  • High school graduate/GED or equal
  • 3-5 years experience in procurement with strong working knowledge of low voltage, AV, and/or Security materials, equipment, and procedures to communicate with Project Managers and Technicians independently and effectively regarding jobs, quotes, and billing.
  • Strong attention to detail/follow up skills.
  • Must be able to collaborate with all company departments.

Required/Desired Knowledge, Experience, and Skills:

  • Strong time management skills – Understand levels of importance in daily tasks and/or ask for guidance on what tasks are most important.
  • Strong verbal and written communication and relationship-building skills.
  • Strong computer skills, including experience with spreadsheets and the V-lookup function (Excel) and other software that may be utilized in the purchasing department.
  • Ability to work under pressure and maintain accuracy and attention to detail.
  • Ability to communicate professionally and courteously with customers and partners, both internal and external.
  • Experience with ERP systems.
  • Knowledge of warehouse workflow.
